A Day in the Life of a Volunteer Coordinator in Admin

Ever wondered what goes on behind the scenes in housing admin?

It’s not all printers, staplers and emails (though there’s plenty of those). Here’s a peek into a fairly typical and slightly chaotic day in my world.

I get to the office at 9:40am, ready to face whatever the day throws at me. The volunteers arrive just before 10, bright and cheerful, which is always a nice start. For about ten minutes, things are calm. Then reality sets in.

There are enquiries to upload, paperwork to scan, and that one mysterious document that seems to have appeared from nowhere. And of course, the all-important emails that need prompt attention.
Some mornings everything’s neatly in order; other mornings it’s panic mode, papers everywhere, scanner not connecting, and me wondering why I thought clear desks were even possible.
By the time we’ve uploaded the enquiries and sorted through the morning’s pile, a fresh one has appeared, like magic !

It’s like the paperwork multiplies when you’re not looking.

The Art Of Multitasking

Once the scanning’s and printing is under control, I remember the rest of my to-do list:
I need to recruit new volunteers, plan social media posts, check emails, and help whoever’s calling my name from the other side of the room because ‘how do I write this person’s name on the enquiry’ or ‘what shall I input as sub-matters’.

It’s a lot of things happening at the same time, but somehow it all keeps moving. The volunteers are brilliant, always willing to learn new things and help, even when we’re all slightly baffled by the amount of paperwork we go through !

Wrapping Up (Sort Of)

By 1:30pm, the volunteers head home, and I start the end of the day tidy-up. I always think this will be the calm part of the day. It is not. There’s always one last form to upload, one last email to answer, one last mystery pile of papers that appears out of nowhere.

By 2:00pm, I call it a day. The desk looks semi-organized, the forms are mostly uploaded, and the scanner is (mercifully) quiet. I switch off the loyal computers and lock up my drawers. And I check again to ensure i didn’t just imagine locking up.

And just like that , we did it ! We conquered another day of paperwork and moody machines.
Tomorrow will bring another round of enquiries, more scanning, and hopefully fewer mysteries with either new or missing paperwork.

The Honest Bit

Admin isn’t glamorous. There are no medals for ‘fastest scanner’ or ‘quickest emailer’, if that’s even a thing. But it’s the heartbeat of everything we do. The volunteers make it worthwhile, and even on the busiest days, there’s always a sense that we’re helping people, one enquiry, one upload, one stapled form at a time.
